The cost breakdown
Applying to graduate school typically involves six categories of costs:
- Application fees: Per-programme fees set by each university. Many universities offer fee waivers for students with demonstrated financial need.
- Standardised test registration: GRE, GMAT, TOEFL, and IELTS each charge registration fees. Retaking a test incurs the full fee again. Check the official test maker pages for current amounts.
- Official score reports: After you take a test, you send official score reports to universities. Each report costs money; some test makers bundle free reports, others charge per report.
- Transcripts: Universities often require multiple certified copies of your undergraduate (and sometimes graduate) transcripts. Transcript fees vary by institution.
- International credential evaluation: If you studied outside the US, many US universities require an official evaluation (WES, NACES-certified evaluator) to convert your grades. Credential evaluators charge fees that vary by service and evaluation type.
- Courier and shipping: Transcripts, official evaluations, and sometimes test scores must be shipped directly to universities. Shipping costs depend on delivery method and destination.
Fee waivers and fee reduction programmes
Application fee waivers. Every US graduate programme sets its own fee-waiver policy. Eligibility typically includes: participation in a bridge programme, receiving certain fellowship funds, low income (verified via FAFSA), or status as a refugee or asylum seeker. Contact the graduate admissions office at each university you are interested in to ask about their specific waiver criteria. There is no universal application. You apply for a waiver directly with each school.
Test fee reduction programmes. Both ETS (which administers the GRE and TOEFL) and IDP/British Council (which administers IELTS) run fee reduction or voucher programmes for students with low income or otherwise eligible under their criteria. These are separate from university waivers. Check the official test maker pages for current eligibility and application procedures.
How many programmes should you apply to?
There is no magic number, but most students apply to 3–6 programmes:
- Safety (1–2): Programmes where your profile (GPA, test scores, research) is significantly above the typical acceptance range.
- Target (1–3): Programmes where your profile aligns with typical admits.
- Reach (1–2): Programmes where your profile is slightly below the typical range but your research interests align strongly with faculty.
Applying to more programmes increases your chances of acceptance but multiplies costs across all six categories. If budget is a constraint, prioritize quality of fit over quantity and apply for fee waivers aggressively.
Costs people forget
- Courier fees for transcripts. Many students assume transcripts are free; they cost money both to request and to ship.
- Test retakes. Retaking the GRE or TOEFL costs as much as the first attempt. Factor in both registration and new score-report fees.
- English test for non-native speakers. Even applicants from English-speaking countries may be required to take TOEFL or IELTS by certain universities. Budget for this separately from GRE/GMAT.
- Credential evaluation delays. International evaluators take several business days to process. Expedited services cost extra.
- Acceptance deposit. Once you are admitted, universities typically require a deposit to hold your spot. This is not part of the application cost but should be in your planning budget.
- Interview travel. If selected for a video interview, you may need to travel for an in-person visit, which is not reimbursed.
FAQ
Can I use this calculator offline?
Yes. This page works entirely in your browser and stores your data locally. You can save this file to your computer and open it anytime without an internet connection. All calculations and your saved data are stored on your device.
What if a programme doesn't charge an application fee?
Leave the "App fee" field blank (or enter 0). It will count as zero in the total. A small number of universities offer free applications, particularly for domestic applicants, or as part of a specific fellowship or bridge programme.
Does this calculator include tuition or living costs?
No. This calculator covers only the costs of applying: fees, tests, transcripts, evaluations, and shipping. Tuition, housing, and living costs come after you are admitted and decide which programme to attend.
Why is there no currency conversion?
What is "saved by fee waivers"?
This is the sum of application fees you marked as waived (using the checkbox). It shows you how much money you will save if those waivers are approved. It is not deducted from the grand total. Only the application fees are removed when you check the waiver box.
